Overview

We are searching for a Student Services Scheduling and Administrative Support. In this position, you will;  Provide scheduling and administrative support to OCTP to include the HQE-SM program. This support may include performing administrative functions, operational planning, scheduling deployments, supporting, and budgeting for multiple OCTP trainers and HQE- SM to attend major AFCHQ exercises, joint-operational warfighter exercises, senior- level academics, and senior-level developmental seminars and summits. This Position is Located at Hurlburt Field, FL

Responsibilities

  • Coordinates with host organizations as required, for example, Headquarters Air Force (HAF), Air University, and other DoD Organizations.
  • Manages student enrollment and administrative processes for assigned courses; provides a smooth process and outstanding customer service to the students and the Course Managers.
  • Sends out the Course Announcement, receives Enrollment Forms, maintains an accurate Course Roster, submits security information to AP as required/monitors approvals/inform students of approval/denial.
  • Reserves group lodging as required using the Defense Travel System (DTS) to include itineraries, rental vehicles and hotel reservations for HQE's - up to 124 movements per year and notifies the appropriate activity of proposed visits, time of arrival and departure, personnel to be contacted and purpose of the travel. Responsible for preparing travel orders, country clearances, and worksheets in support of program missions.
  • Prepares and provides the Reporting Instructions, assign TLNs, enroll and graduate students in OTA.
  • Gathers/orders course materials, prepares student folders for mobile courses, prepares and maintains the classroom for local classes, prepares and transcribes student critiques, prints training certificates, and other tasks as required for a smooth enrollment and classroom experience.
  • Coordinates security clearances for OCTP. Knowledge of military operations security (OPSEC) procedures.

 

 

 

 

Qualifications

  • Personnel will preferably have at least 2 years administrative experience with duties related to those outlined above.
  • Experience with booking travel.
  • Must Possess Secret Clearance.
  • Must possess knowledge of time and attendance tracking (timecards) & reporting procedures, skill in use of MS Office applications, and data management skills to prepare charts, graphs, databases, and spreadsheets in order to enter, revise, sort, research, calculate, and retrieve data.
